This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the MeetiQ application, website (meetiq.app), and related services (collectively, the "Service").
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.
2. Information We Collect
2.1 Account Information
When you create an account or sign up for early access, we collect:
- Full name
- Work email address
- Job title
- Company name and size
- Authentication tokens from third-party sign-in providers (Microsoft, Google)
2.2 Calendar Data
When you connect a calendar, MeetiQ accesses meeting metadata in read-only mode. This includes meeting titles, times, durations, and attendee lists for meetings with 5 or more attendees. We do not read, store, or access the content of your calendar events, attachments, or private notes.
2.3 Meeting Ratings
When attendees rate meetings, we collect responses to our 12-dimension rating framework. All individual ratings are anonymous. We store only aggregated scores — individual responses are never linked to a specific attendee's identity in our database or in reports shared with meeting hosts.
2.4 Usage Data
We automatically collect standard usage information such as browser type, device type, IP address, pages visited, and feature usage patterns to improve the Service.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the MeetiQ Service
- Detect eligible meetings and deliver post-meeting rating notifications
- Generate aggregated meeting quality reports for hosts and organizations
- Send you service-related communications (reports, notifications, account updates)
- Improve and develop new features based on usage patterns
- Respond to your inquiries and provide customer support
- Comply with legal obligations
4. Anonymity of Ratings
Anonymity is a core principle of MeetiQ. Individual meeting ratings are never attributed to specific attendees. Meeting hosts see only aggregated scores across all respondents. We employ technical safeguards to ensure that individual responses cannot be reverse-engineered, including minimum response thresholds before reports are generated.
5. Data Sharing and Disclosure
We do not sell your personal information. We may share information in the following limited circumstances:
- Within your organization: Aggregated meeting scores are shared with meeting hosts and, depending on your plan, with organizational administrators. Individual ratings are never shared.
- Service providers: We use third-party services (such as Supabase for database hosting and authentication, and Vercel for application hosting) that process data on our behalf under strict confidentiality agreements.
- Legal requirements: We may disclose information if required to do so by law or in response to valid legal requests by public authorities.
6. Third-Party Integrations
MeetiQ integrates with the following services:
- Microsoft 365 / Outlook: Read-only calendar access via Microsoft Graph API
- Google Workspace: Read-only calendar access via Google Calendar API
- Apple Calendar: Calendar data via CalDAV (read-only)
- Slack and Microsoft Teams: Notification delivery only
We request only the minimum permissions necessary. We never modify, delete, or create calendar events on your behalf.
7. Data Retention
We retain your data according to your subscription plan:
- Starter plan: 30 days of meeting data
- Team plan: 12 months of meeting data
- Enterprise plan: Custom retention as agreed
Account information is retained for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law.
8. Data Security
We implement industry-standard security measures to protect your data, including encryption in transit (TLS 1.2+) and at rest, secure authentication via OAuth 2.0, regular security reviews, and access controls limiting employee access to production data. While no system is 100% secure, we take reasonable and appropriate measures to protect your information.
9. Your Rights
Depending on your jurisdiction, you may have the following rights:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate personal data
- Deletion: Request deletion of your personal data
- Portability: Request your data in a portable format
